We collect the minimum needed to run the event, keep it for 12 months, and never sell it. The sponsor opt-in is off unless you turn it on.
What we collect
For every team member: name, email address, school or organisation, role or course, experience level, and optionally GitHub and LinkedIn URLs. For team leads, a mobile number as the day-of contact.
For submissions: project details, repository and demo URLs, screenshots you upload, and the description you write.
Why we collect it
To review your application, to contact you about the event, to run building security, to cater for you, and to publish the results afterwards.
Judges see submissions. Sponsors see aggregate numbers and which service each team built with. They never see your contact details, unless you tick the sponsor opt-in.
Retention
Applications and submissions are kept for 12 months after the event, then deleted. Aggregate statistics with no personal data are kept indefinitely.
Screenshots you upload are stored in a private S3 bucket and served only to organizers and judges.
Your choices
The sponsor contact opt-in is off by default and stays off unless you turn it on. It changes nothing about your application.
Email organizers@buildnights.example to see, correct or delete your data. We action deletion requests within 30 days, except where we must keep a record for safeguarding.
Under-18 participants
We collect the same data and additionally require a guardian consent form, emailed after acceptance. We do not share a minor's details with sponsors under any circumstances, opt-in or not.
